Document management system (DMS) for Adris
In 2007, Adris Group decided to improve its operations in order to adapt to the growing business requirements for faster and more efficient decision-making by introducing a central repository of electronic documentation, and incoming invoices were chosen as the first phase. Ericsson Nikola Tesla’s document management system based on the IBM Filenet platform for electronic document management was chosen as the technical solution. At the time, the Adris Group consisted of companies based on the production of the Rovinj Tobacco Factory (TDR) and the tourist company Maistra. Due to the geographical dispersion of business entities, the introduction of this system drastically accelerated and simplified the manner of processing and approving incoming invoices used by all companies in the Group. The DMS system became an integral part of the IT structure and was successfully integrated with existing business applications such as SAP and LaserLine. In the following years, the manner of processing travel orders was successfully implemented on the same DMS platform, and the plan is to implement other business processes, such as the approval of purchase orders and sourcing contracts. As the Adris Group changed its structure from a company that was once a leader in the tobacco products business to one of the leading companies in insurance as well as in the tourism and food business, the DMS system made it possible for this business transformation to happen easily and quickly.
By implementing the DMS system, the Group achieved significant improvements in their business operations:
- by introducing one central repository of electronic documents in which business content is stored in a safe and structured manner and documents can be easily retrieved, searched and indexed;
- by automating business processes in which the processing of business documents takes place in a more reliable, faster and transparent manner;
- by integrating other business applications into a unique electronic document management system available to all end users, where all information is available in one place and therefore enables the company to make business decisions more simply and quickly.
Voice – a platform for surveying user satisfaction
Ericsson Nikola Tesla VOICE is an engagement survey for the employees of Ericsson Nikola Tesla that is used to identify strengths and areas for improvement at all levels in the company with the aim of increasing employee engagement and performance.
The survey is conducted on the Voice Platform created by Ericsson Nikola Tesla in 2020. The platform enables the creation of different surveys at company level while ensuring the anonymity of employees who fill out the survey. It also makes the report available to managers immediately after the end of the surveying cycle. The platform implements high security standards which ensure that employees reply to questions in a safe and anonymous way.
For example, no one has insight into the individual replies of participants. In addition to the method of programming the platform in a way that the answer of an individual employee cannot be connected with their identity, anonymity is also ensured by the group display of results. In case of organizational units in which there are less than 6 employees, or less than 6 employees filled out the survey, the results are displayed at a higher level.
The survey is conducted twice a year in order to continuously listen to employees and the emphasis is placed on transparency, involvement and actions immediately after the completion of the survey.
The platform is highly configurable and can be used in various scenarios when it is necessary to listen to the opinion of employees, the public or any key stakeholder.
Platform for implementing eArchive
In 2020, the company Ericsson Nikola Tesla developed its own solution for electronic management of archive books – the eArchive platform, which is currently also used for own purposes. The eArchive platform contains functionalities for managing archives and conducting archival activities. Carrying out archival activities is necessary due to compliance with external regulatory rules and internal business needs. It is a highly configurable solution that is fully compliant with the Archives and Archival Institutions Act (Official Gazette 61/2018). During the development of this solution, modern web technologies were used which is why the entire solution has a responsive design and is adapted to different devices. Some of the functionalities implemented in the eArchive platform are:
- search, review and update of archive unit data
- records of new archive material
- search and review of records requests
- creation of records requests
- approval of records requests
- returning materials
- extracting materials
- retrieval approval by responsible persons in the company
- retrieval approval by the competent archive
- physical retrieval
- search, review and update of retrieval requests
- calculating the cost of using the document storage service by organizational units
- summary record and creation of Archinet XML document
- administration
